Title: Talent Acquisition Coordinator

Pay Grade: Grade 16

Starting Pay: $68,160.35

Departmental Mission Statement: The Human Resources (HR) Department partners with Trial Court management to create and maintain a talented, qualified workforce by recruiting a diverse applicant pool, by facilitating the fair merit-based selection for appointment of the most qualified candidates, by developing appropriate workforce training (in consultation with the Trial Court's Judicial Institute), by fostering positive management-employee relations, by promptly addressing workplace issues, and by developing performance based measures to ensure the continued excellence of the workforce. The HR Department will use best practices to ensure that this collaborative effort advances the mission of the Trial Court. The HR Department also provides information and assistance to all Trial Court employees on a variety of work place issues


Notes: This full-time position is a confidential, non-union position assigned to the Trial Court Human Resources Department, 2 Center Plaza, 5th Floor, Boston, MA.

Position Summary: Working within the Human Resources Department of the Office of Court Management, the Talent Acquisition Coordinator is primarily responsible for coordinating the hiring process for appointments made in the Trial Court. The position focus is on using an applicant-tracking system to post positions and to support the screening and selection process and the candidate experience. Talent Acquisition Coordinators may also perform other duties, including report generation, data management, applicant outreach, and assisting the Human Resources Department with the ongoing communication of policy and compliance, and implementing best practices as outlined in Human Resources Policies and Procedures Manual, and applicable collective bargaining Agreements. This position requires the combination of effective business software skills and well-developed communication skills, and the ability to exercise independent judgment.

Supervision Received:

Reports to the ACHRO for Talent Acquisition or their designee and receives work assignments and supervision within established guidelines.

Duties: Talent Acquisition Coordinator Major Duties:

Perform work in support of the HR Department’s statewide Talent Acquisition Unit;

Serves as a primary user and assists in the administration of an applicant tracking system that is managed by Human Resources and made available to hiring authorities in the Trial Court;

Serves as first point of contact for applicants for support with use of applicant tracking system, providing a high level of customer service;

Provides customer service to internal and external applicants, answering questions about the hiring process and application status;

Posts Trial Court jobs using the applicant tracking system on internal and/or external Trial Court job portals as well as on other mediums available to the public;

Supports projects for the Talent Acquisition Unit;

Schedules and facilitates interviews, including providing all appropriate materials to interview participants;

Generates standard management and union reports;

Provides research and appropriate reports and documentation supporting the Labor team related in cases involving talent acquisition;

Provides interpretation of Talent Acquisition policies and procedures to managers and employees;

Maintains templates, documents and information for distribution to hiring managers throughout the hiring process;

Demonstrates knowledge and ability in the use of personal computers and related software, including Applicant Tracking software, HR/CMS (Oracle/PeopleSoft), MS Excel spreadsheet and MS Access;

Research and respond to data requests in support of HR needs;

Partners with key stakeholders within HR to create/run reports, conduct analysis, identify key trends, and identify actionable items.

Generates standard management and union reports;

Performs related duties as required.

Minimum Requirements: These are the minimum requirements necessary to apply for a position of HR Talent Acquisition Coordinator:

An Associates’ Degree and a 2 years of employment experience working within a Human Resources Department, preferably supporting talent acquisition activities; or an equivalent combination of education and experience;


Strong interpersonal skills and the ability to work professionally with persons at all levels, including judges, and to maintain effective working relationships;

Demonstrated knowledge and experience in the use of personal computers and related software, preferably with Applicant Tracking software, MS Excel spreadsheet;

Ability to multi-task and manage a variety of assignments at once;

Ability to adapt quickly to changing circumstances and develop workarounds for issues that require timely resolution;

Ability to generate and analyze data reports and maintain HR activity logs;

Ability to communicate clearly and effectively in oral and written form;

Ability to work independently and with an attention to detail;

Basic understanding of current state/federal employment laws;

Ability to handle sensitive matters on a confidential basis;

Ability to maintain accurate records; and

Ability to travel within the Commonwealth if necessary.
